Start with the payroll records
A pay stub explains a payroll payment: who paid it, who received it, which work period it covers, and how gross earnings became net pay. Gather the records for the payment you are documenting before opening the generator.
Use employer payroll reports, approved time records, and recorded deductions. A pay stub generator organizes those figures; it does not independently verify employment or send wages to the employee.
- Employer legal name and address.
- Employee name, address, and an internal ID or last four SSN digits if needed.
- Pay-period start and end dates and the payment date.
- Actual hours, pay rate or salary, and additional earnings.
- Recorded taxes, deductions, and opening year-to-date balances.
1. Choose a layout and enter the parties
Open the pay stub generator and select a layout. Enter the employer and employee information as it appears in the payroll records. You can upload a company logo and change the document accent color without changing the underlying payroll figures.
Use only identifying information needed for the statement. Avoid adding a full Social Security number or full bank account number to a document when a masked identifier will do.
2. Add the pay period and earnings
The pay period identifies the dates the work covers. The pay date identifies when the payment was made. Check both rather than treating them as interchangeable.
For hourly wages, enter the recorded rate and hours. Record overtime and additional earnings separately where applicable. For salary, confirm the pay frequency and period amount against the employer payroll report. Do not infer historical earnings from a current salary alone.
3. Reconcile withholding and deductions
If you already have payroll amounts, use actual withholding mode and enter those figures. The optional federal estimate is a planning calculation for supported situations; it is not evidence of what an employer actually withheld. State and local amounts require separate attention.
Review gross pay, taxes, other deductions, and net pay together. If the statement differs from the payroll report, correct the inputs before downloading.
4. Check year-to-date totals
Enter opening balances from before the earliest payment in your batch. The generator adds the periods in payment-date order. Check the result against the payroll system’s running totals, especially if your batch crosses a calendar-year boundary.
If you are creating more than one statement, check every payment date. An incorrect opening balance can carry forward to several documents.
5. Preview, save, and download
Review names, dates, earnings, deductions, and net pay in the preview. Saving a draft lets you resume your entries later. Keep the draft secure because it contains payroll information.
Previewing is free. A completed download requires confirmed payment at the displayed price. After checkout, keep your receipt and downloaded PDF. Paid document recovery is available for up to 30 days using the same browser.
A completed PDF does not file a tax return, remit withholding, or transfer wages. If a recipient needs independent income verification, ask which employer-issued records and supporting evidence they require.
